Candidates: Full name, contact details (email, phone number, address), employment history, qualifications and professional memberships, salary expectations and current remuneration, right to work status and visa details, referee details, career preferences and motivations, and any other information you provide in your CV or during conversations with us.

Clients and employer partners: Contact details of key personnel, business information, role requirements, workplace culture details, and billing information.

Website visitors: Device information, IP address, browser type, pages visited, and interaction data collected through cookies and analytics tools.

Referees: Name, contact details, professional relationship to the candidate, and the content of reference conversations.

We do not generally collect sensitive information (such as health information, racial or ethnic origin, political opinions, or criminal records) unless it is directly relevant to a specific role requirement and you provide explicit consent.

We collect personal information directly from you when you submit an enquiry through our website, book a conversation with us, provide your CV or resume, participate in a discovery session or interview, provide references, or communicate with us via phone, email or other channels.

We may also collect information about you from third parties, including referees you have nominated, publicly available sources such as LinkedIn and professional directories, our employer partners (where they refer you to us), and job boards or recruitment platforms.

We collect and use your personal information for the following purposes: to provide recruitment and career guidance services, to match you with suitable employment opportunities, to facilitate introductions between candidates and employer partners, to conduct reference checks and employment verification, to communicate with you about relevant opportunities and market insights, to manage and administer our client and candidate relationships, to improve our website and services, to comply with our legal and regulatory obligations, and to manage our internal business operations.

We will not use your personal information for a purpose other than the purpose for which it was collected, unless you have consented or the secondary use is related to the primary purpose and would be reasonably expected.

We store personal information in our recruitment management system (JobAdder), email systems, and associated business tools. We take reasonable steps to protect your information from misuse, interference, loss, unauthorised access, modification and disclosure.

Our security measures include access controls limiting information to authorised personnel, encrypted data transmission through our website (SSL/TLS), regular review of our data handling practices, and contractual obligations on third-party service providers to protect your information.

We retain personal information only for as long as it is needed for the purposes described in this policy, or as required by law. Where information is no longer needed, we take reasonable steps to destroy or de-identify it.

We may disclose your personal information to our employer partners and clients for the purpose of facilitating employment opportunities (with your knowledge and, where appropriate, consent), referees you have nominated, our service providers who assist us in delivering our services (including our recruitment management platform, communication tools, and IT providers), regulatory authorities or law enforcement agencies where required or authorised by law, and professional advisers including accountants and lawyers.

We will not sell your personal information to any third party.

7. Overseas disclosure

Some of our service providers may store data on servers located outside Australia, including in the United States and European Union. Where we disclose personal information to overseas recipients, we take reasonable steps to ensure they handle your information consistently with the Australian Privacy Principles. Our key platforms and their data locations include JobAdder (Australia), Google Workspace (global), and Apollo.io (United States).

We do not use automated decision-making processes that produce legal or similarly significant effects on individuals without human involvement. Where we use technology tools to assist in sourcing or matching candidates, final decisions regarding introductions and recommendations are always made by our team.

12. Children's privacy

Our services are designed for working professionals and we do not knowingly collect personal information from individuals under 18 years of age.

In the event of a data breach that is likely to result in serious harm to affected individuals, we will notify the Office of the Australian Information Commissioner (OAIC) and affected individuals as soon as practicable, in accordance with the Notifiable Data Breaches scheme under Part IIIC of the Privacy Act.

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements. The updated policy will be published on our website with the revised date. We encourage you to review this policy periodically.
